SENDING A NEWSLETTER OR BULK EMAIL
There are TWO MAIN METHODS of sending a Bulk Email.
1. MailChimp
We highly recommend learning how to use MailChimp which is a graphical email marketing program.
For the management of email marketing up to 2,000 customers, MailChimp is free.

2. Run Campaign through Document Manager
a) Go to Platform > Document Manger
The Document Despatch Centre allows you to:
- View and filter emails and SMS sent
- Build templates
- Manage PDF documents
- Run a Campaign
STEP 1: Create the message that we wish to send
- Select Templates
- Make a Template
- To edit an existing Template, click on it with your mouse
- The key areas of creating a message are:
i. Keep your subject to the point
ii. We suggest creating your message in a word document and then cutting an pasting the content.
Keep your messages short. Long messages tend not to be read
5. Once created, your template can be used:
i. In the database, click on the customer’s email address where you will be prompted with the option of sending a
template
ii. In the ‘Run Campaign’ section
6. Now that you have created/edited a suitable template, proceed to the ‘Run Campaign’ section.
i. Profile: Select who you would like to include in your mail out
WARNING:
If you are sending an email out to more than 500 people, you will find it best to send it after 5:00 pm when the servers are no so busy. Large emailing should be avoided. Ideally you want to send to no more than 200 recipients.
You must comply with the Email Compliance Rules
ii. Select Template: Select the template you wish to send as was created above
iii. Send Marketing
WARNING:
a.You must not send any other emails from the company until the email marketing send has completed
b.You must no close out of SoEasy until the send has completed. Look for a little black box on the status bar. When this is gone, the send may have completed
c. LARGE EMAIL CAMPAIGNS are best run through MailChimp.

UNSUBSCRIBE
If a contact opts to unsubscribe from your mailing lists, you will need to check that you remove them from any lists you may have already created. In SoEasy:
a) Locate them inside SoEasy
b) Select ‘Allow the send of marketing materials/emails’ and you will toggle between Y and N

HOW CAN I GET SOEASY ON MY LAPTOP?
You will need your:
- Computer – Server Address
- User Name
- Password
If you do not have this information, please contact support
Here are the instructions of how to set up Remote Desktop Connection
WARNING
If using a hotel or third party computer to connect, do not save your details on the PC. It is highly recommended to not use any PC other than your own. However if you must, please contact support and we will issue you with temporary credentials.
