SoEasy has two email systems built in:


  1. BLAT
  2. SwithMail


BLAT is a very basic email system and we will be retiring it during 2020 in favour of SwithMail.

With SwithMail you should be able to use the same settings you use with your email provider.

With Blat you typically have to use our email server mx2.globicom.co.nz and this can cause email authentication issues.


IMPORTANT.

If you require help from support to set up your emails YOU MUST PROVIDE:

1. Your username

2. Your password

3. The SMTP settings including the Port required and if the system uses SSL or TLS

SETUP THE SOEASY EMAIL SYSTEM


1. Go to Cash Book > Setup



2. Select 'Email Settings'



3. Select 'Email System Setup' and configure according to your providers settings


In the example below we have selected 'SwithMail' as the Email System and TLS as the encryption.

Although SoEasy wants to use mx2.globicom.co.nz as the SMTP you can override this as well as the Port settings.



4. Always test the results by sending a test email.

IMPORTANT

The most common issues with emails in SoEasy is that a user changes their provider or username/password, but does not update the details inside SoEasy. Please remember to change your details inside SoEasy if you change your ISP or email account details.


Settings can change from time to time.

GMail Important Instruction


When you first perform a Test Email from SoEasy using the smtp.gmail.com setting, you will receive an email warning you as follows:



Click on 'Check Activity' and a second screen will appear.



You must select, 'Yes it was me'


On the next screen, locate 'Use an App Password' and select it to reveal more detail.



Select 'Go To Your Google Account'

Microsoft 365 - Office 365

Microsoft provide a few different solutions for email delivery when using Microsoft 365 with multifunction devices or LOB Applications.

Option 1 in the article is no longer a viable solution due to the enabling of security defaults by Microsoft, legacy SMTP authentication will no longer work.  Microsoft delayed enabling legacy authentication during the Coronavirus pandemic in 2020 but has set a deadline to moving to modern authentication by the 1st October 2022.  Option 2 is not viable either as Direct Send does not allow sending to emails outside the organisation/domain.  Customers using option 1, SMTP authentication with Microsoft 365 will stop working in the coming months unless they have premium 365 licences where they can specify conditional access rules, use one of the other Microsoft 365 submission types or use another SMTP service to relay email.  Unfortunately Microsoft’s security defaults does not allow the creation of App passwords like Google does. 

 

This leaves option 3 which we have successfully used in a number of scenarios.  The sending issue at Plumber Man was related to the SPF and connector records but not because the VPS City records needed to be added.  There was a typo in the MS 365 connector that we had set up for this purpose – the last two digits of the So Easy server IP got transposed.   The initial tests worked because the Microsoft 365 SPAM settings did not initially kick in.  The IP in the SPF record was correct but mismatched with the connector and after several sends was blocked as the IP did not match the connector.  Correcting the IP address resolved all sending issues.

 

In short, when using the SMTP relay option witch Microsoft 365 the following set up is required:

  • SMTP server in So Easy set to Microsoft 365 MX record of domain, port 25 TLS, with no authentication required. 
  • Domains SPF record needs to include So Easy Server IP address.  When using SwithMail or Blat your server is effectively acting as an SMTP server.
  • Mail connector in Microsoft 365 Exchange Admin Centre needs to be added with So Easy IP address.
